# Print settings

### Language

Die Agenturverwaltung currently supports two languages for the use of financial documents.\
Selecting the language - e.g. English - causes all non-editable texts of a document to be output in English, for example the heading "Estimate of Cost", subtotals "Subtotal" etc.

> This feature does not result in a machine translation of data entered by the user.

If you need additional languages, contact our customer service: <info@dieagenturverwaltung.de>

The default language for financial documents is German, but it can be adjusted in the customer account under "Settings", e.g. if one of your customers wants to receive their documents in English.

### Letterhead

The selection of the letterhead that the print version uses can be set on the financial document. It is possible to define a default value in the customer account under "Settings".

**Application examples** \
You use a specific checking account for all customers, but a particular customer should make payments to a bank account set up specifically for them. To ensure the correct bank details are displayed on invoices to that customer in the letterhead, a separate letterhead can be created for that customer and defined as the default in the customer account.\

You operate different sub-brands of your company, e.g. "Hase Kommunikation" and "Hase Media Production"; depending on the job you can use the correct letterhead with the appropriate company logo.\
\
You create 10 different letterheads, each with a different small banner containing an advertising message, and rotate these at random.

### Short version of the item list

This function allows a shortened version of the item list to be displayed in the print version.

#### Only list item groups, no individual items

In this display mode only the headings and subtotals of the item groups are shown. The individual items with their details are hidden. This significantly shortens the document; details such as the number of hours for a specific function or unit prices of certain external services are therefore not shown transparently.

This is how an item group with several items ...

#### Show only item groups, combine individual items comma-separated as a text block

In this display mode only the headings and subtotals of the item groups are shown. However, the item descriptions of the individual items are still displayed here as running text, but without amounts.

This is how an item group with several items ...

### Set default setting for the short version of the printout when billing estimates

So that the print version of every invoice generated from a detailed estimate does not have to be changed manually, a default setting can also be made here. This can be set under *Settings > Finance* be made.

### Show external services simply as "services"

In some cases purchased services are sold to the customer as agency service. To still be able to record internally which part of the budget should remain reserved for external suppliers, this function allows you to omit the separate display of agency and external services. No service type is then shown. The amount columns for agency service and external service in the item list collapse into one column.

This function only makes sense if the document contains both agency service and external service, otherwise it would in any case be displayed in a single column.

## Further display options

#### Hide header above the item list of an item group&#x20;

This allows the header (item, agency service/external service or total) of all item groups to be hidden.

#### Hide all item groups&#x20;

With this function all groups can be hidden. The document then only shows the header and footer notes and the totals in the item list.

#### Hide all items in item groups&#x20;

With this display the items of an item group are hidden. Only the title of the item group with description as well as the header and footer with subtotal are shown.

#### Hide amounts on items&#x20;

This allows the amounts of the individual items of an item group to be hidden. Prices then only emerge from the subtotal of the item group.

If you always want to hide quantity & unit or the item value in EUR by default, you can preset this here for future documents:

#### Hide subtotals on item groups&#x20;

To hide subtotals on item groups you can tick this checkbox.&#x20;

#### Hide grand totals to output the document as a price list

If a document has more the character of a price quote or price list, e.g. because many optional item groups are listed in an estimate and it is still unclear which options the customer will choose, the grand totals on the document can be hidden here.\
The customer will then not be distracted by a total that contains parts of the offer the customer does not intend to order.

**Example of application**

We create an offer for a customer with three item groups:\
\&#xNAN;*Facebook channel moderation 3,000,- EUR*\
*Starter package: content creation 10 articles 6,000,- EUR*\
*Full service package: content creation 20 articles 12,000,- EUR*\
\
We want to give the customer the choice between the Starter and the Full Service package here. \
The offer is therefore a price quote.\
The customer should not be shown the sum of all options (21,000 EUR) here, because the offered items are not intended to be ordered together.

## Display options for commissions

Commissions can be displayed in different ways in the print version.

### Display at the item

In this example commissions are shown at each item, but not at the item group. The subtotal of the item groups therefore also includes the sum of the commissions:

Since commissions are not to be shown at the item group in this example, the item group contains only the sum of item values and commissions and does not further break them down.

### Display at the item group

In the following example commissions are shown both at the item and at the item group. The group therefore only lists the commissions once for clarity, since the items already list them.

If, on the other hand, a commission is shown only at the item group, not at the item itself, the subtotal of the item group indicates that the commissions are understood as additional:

### Display in the totals block below the item list

In the totals block commissions can appear in different ways:

a) If commissions are displayed in items and/or groups, the totals block shows them as *included* as:

b) In this example commissions were *only* displayed in the totals block, therefore here they are understood as additional to the agency and external service.

c) If commissions are included in a document but should not be shown in the totals block, they result from the totals of the items or item groups:

### Do not display commissions, but include them in the unit prices of the items

Here commissions are not shown at the item, nor at the item group, nor in the totals block below the item list.

They are then automatically included in the unit prices.&#x20;

Since in this example commissions were used for both agency and external services, their share can still be guessed from the two-column output of agency and external service.&#x20;

This can be prevented by activating the display option "Do not explicitly show external services":
