# Customize letterhead

Important note: This function is not yet finished and is currently only available as a beta. The settings still do not work smoothly and minor errors and bugs will occur. Use is voluntary. ## Upload logo

In edit mode of a letterhead, logos and other graphics can be uploaded under the "Image elements" tab.

The image must be available in sufficient resolution so that it does not become blurry when printed, e.g. 800x800 pixels. Very large files also create large PDF invoice documents, since the graphic is part of every document created in Die Agenturverwaltung. This means that documents also become correspondingly larger when sent by email. PNG or JPEG files with a size of 30-50 KB are recommended.

The logo should have no border. The position and size of the logo can be set individually for both portrait and landscape format (A4) using the height fields (in millimeters) as well as the X and Y offset (the origin of the coordinate system is at the top left of the DIN A4 page).

All dimensions in the letterhead are given in millimeters. If the logo graphic has a border, this may need to be taken into account when positioning it.

Similarly, the positions of the letter footer and the page numbers can be adjusted.

The page format for letterhead is DIN A4 - this results in a width of 210 mm and a height of 297 mm.

> **Note**: To ensure that documents can also be printed on simpler printers (e.g. at your customers'), they should provide a page margin of 15-20 mm. Elements outside this zone will be visible in the PDF, but may be cut off when printed.

There are many more possibilities, e.g. logos in the letter footer, logo only on the first page, multiple logos, borderless full-bleed background graphics, columns, or flush text alignment in the letter footer, etc. Not all of these settings are accessible via the user interface.\

## Fonts and text

Through the "Text elements" tab, these can be created and positioned. Size, color, spacing, and font can be selected. Placement works via an X-Y grid. The spacing to the top or bottom edge can be set in millimeters. If your corporate font is not available, please send it to us as a ttf file (<info@dieagenturverwaltung.de>); we will then upload it for you.

## Important information in the letter footer

Section 14 of the Value Added Tax Act legally defines what must appear on every invoice.&#x20;

It states, among other things, that it should be clearly recognizable who is issuing an invoice to whom. The full address of the recipient of the service is read from the customer master data and automatically positioned at the height of the letter window.&#x20;

However, you must store the full address of the service provider, i.e. your agency, in the letterhead. Your bank details should also be in the letter footer so that your customers can pay the invoices.

#### **At a glance**

* Name and legal form of your agency
* the full postal address
* the tax number and the tax office location
* the VAT identification number, or VAT ID no. for short, if you issue invoices to other European countries
* bank details so that customers can also pay your invoices

Depending on your legal form, additional information must also be added to the letter footer.\
For the legal form GmbH or GmbH & Co KG, for example, this is:

* the commercial register number
* the place of jurisdiction
* the name of the managing director(s)

## Multi-column letter footer

With a small trick, it is possible to make the letter footer run in two or three columns. Separate the columns in the text field with the hash symbol `#` from each other:
