# Customize letterhead

Important note: This feature is not finished yet and is currently only available as a beta. The settings do not yet work smoothly and small errors and bugs will occur. Use is voluntary. ## Upload logo

In the editing mode of a letterhead, logos and other graphics can be uploaded under the "Image Elements" tab.

The image must be available with sufficient resolution so that it does not become blurry when printed, e.g. 800x800 pixels. Very large files also produce large PDF invoice documents because the graphic is part of every document created from Die Agenturverwaltung. That means documents will also be correspondingly larger when sent by e-mail. PNG or JPEG files with a size of 30-50KB are recommended.

The logo should not have a border. The position and size of the logo can be set via the height field (in millimeters) as well as the X and Y offsets (the origin of the coordinate system is at the top left of the DIN A4 page) separately for portrait and landscape (A4).

All dimensions on the letterhead are given in millimeters. If the logo graphic has a border, this must be taken into account when positioning if necessary.

Similarly, the positions of the footer and the page numbers can be adjusted.

The page format for letterhead is DIN A4 - which results in a width of 210mm and a height of 297mm.

> **Note**: So that documents can also be printed by simpler printers (e.g. at your customers'), they should allow a page margin of 15 - 20mm. Elements that lie outside this zone are visible in the PDF, but may be cut off when printed.

There are many other options, e.g. logos in the footer, logo only on the first page, multiple logos, borderless full-area background graphics, columns or justified text alignment in the footer, etc. not all of these settings are accessible via the user interface.\

## Fonts and texts

They can be created and placed via the "Text Elements" tab. You can select the size, color, spacing and font. If your house font is not available, please send it to us as a ttf file (<info@dieagenturverwaltung.de>), we will then upload it for you.

## Important information in the footer

Section 14 of the VAT Act legally specifies what must appear on every invoice.&#x20;

Among other things, it states that it should be clearly identifiable who issues an invoice to whom. The complete address of the recipient of the service is read from the customer master data and automatically positioned at the height of the address window.&#x20;

In the letterhead you must, however, store the full address of the service provider, i.e. your agency. Your bank details should also be located in the footer so that your customers can pay the invoices.

#### **At a glance**

* Name and legal form of your agency
* the full postal address
* the tax number and the office of the tax authority
* the VAT identification number, short USt-IdNr., if you issue invoices to other European countries
* a bank account, so that customers can also pay your invoices

Depending on your legal form, additional information must be added to the footer.\
For the legal form GmbH or GmbH & Co KG this is for example:

* the commercial register number
* the place of jurisdiction
* names of the managing director (or managing directors)

## Multi-column footer

With a small trick it is possible to run the footer in two or three columns. Separate the columns in the text field with the hash character `#` from each other:
